QuoteIQ for HVAC: Fit, Features and Pricing

HVAC is two businesses in one: emergency no-heat and no-AC calls, and the steady maintenance agreements that keep the lights on between seasons. Here is how QuoteIQ claims to handle both, and where an HVAC owner should be skeptical.

Short answer

Workable for small residential HVAC shops that sell simple maintenance plans billed on a schedule and want margin per install. It is not built for equipment-tied service agreements, a big dispatch board or the reporting larger HVAC companies expect.

What QuoteIQ says for HVAC

The HVAC software page is headlined “The HVAC CRM That Books Maintenance Agreements and Never Misses a Call”. Its HVAC-specific angles are maintenance agreements, online scheduling, margin per install, truck parts through inventory, and capturing no-heat and no-AC calls with the AI receptionist. A separate HVAC FAQ page answers common questions about CRM and dispatch software for the trade.

What QuoteIQ calls maintenance agreements maps to features you can see elsewhere: recurring visits on the calendar plus invoice subscriptions that bill on a schedule. That works for a simple tune-up plan. It is not the same as a membership program tied to installed equipment, which QuoteIQ itself concedes to ServiceTitan on its comparison page.

Gaps HVAC contractors should weigh

Where it fits this trade
  • Maintenance plans billed automatically on every plan
  • Tiered replacement quotes with financing
  • Per-job margin from Pro
  • Fast setup with no sales call
Where it falls short
  • No equipment-tied membership engine
  • No large dispatch board for 20+ techs, per QuoteIQ's own comparison
  • Inventory and online booking only on Elite
  • English-only app
  • Weaker reporting than enterprise HVAC platforms

Plan for the cost of growth as well. A six-tech shop on Pro pays for four included users plus two at $25 each, which totals $249.99 a month; Elite at $299.99 includes ten users and adds inventory and routing, so it often makes more sense at that size.

Seasonality matters for credits too. If the AI receptionist takes most calls in July, a monthly allowance that resets and does not roll over may not stretch. Read IQ Credits explained before peak season.

HVAC: common questions

Can QuoteIQ manage HVAC maintenance agreements?

For simple plans, yes. You set recurring visits on the calendar and use invoice subscriptions to bill the customer on a schedule, both on every plan. What it lacks is a membership engine tied to specific installed equipment, with tracked agreement terms. QuoteIQ's own ServiceTitan comparison concedes that area.

Which QuoteIQ plan do most HVAC shops need?

Shops with three or four techs usually land on Pro at $199.99 a month, because that is where job costing, QuickBooks Online and the business phone start. If you want truck inventory or customers booking online, you need Elite at $299.99. Solo techs can start on Essentials at $29.99.

Does QuoteIQ track refrigerant and parts inventory?

Inventory is on Elite and Max. It tracks products by location, such as each truck, with reorder points, purchase orders and a transaction trail linked to job costing. We did not find refrigerant-specific compliance logging, so keep your EPA records wherever you keep them today.

Is QuoteIQ an alternative to ServiceTitan for HVAC?

For small residential shops, it can be, mainly because it has published prices starting at $29.99 and no long contract. QuoteIQ itself says it does not match ServiceTitan on reporting, equipment-based agreements or large dispatch boards. Larger HVAC companies should compare both carefully before switching.

Where is QuoteIQ's HVAC FAQ?

QuoteIQ publishes a separate HVAC FAQ page under its HVAC software page, linked near the top of this article with our affiliate tag. It answers general questions about HVAC CRM and dispatch software. Keep in mind it is the vendor's marketing, and some QuoteIQ pages still show prices older than the October 2026 plans.
