QuoteIQ QuickBooks Integration: What Syncs and Which Plan You Need

QuoteIQ's QuickBooks integration pushes your invoices, payments and customers into QuickBooks Online automatically, so you aren't keying the same numbers in twice. Two conditions decide whether it works for you: you need QuickBooks Online, not Desktop, and you need the Pro plan or higher.

Short answer

Solid for QuickBooks Online users on Pro ($199.99/mo) and up; a dead end for Desktop. Invoices, payments, customers, products and services, sales tax and convenience fees sync automatically from QuoteIQ to QuickBooks. QuickBooks Desktop isn't supported, there's no Xero integration on any QuoteIQ page we checked, and the integration isn't on Essentials or Beginner.

What the integration does

QuoteIQ "connects directly to QuickBooks Online". Once connected, records you create in QuoteIQ are sent across automatically. The items QuoteIQ lists as syncing are:

Synced itemDirection
InvoicesQuoteIQ → QuickBooks
PaymentsQuoteIQ → QuickBooks
CustomersQuoteIQ → QuickBooks
Products and servicesQuoteIQ → QuickBooks
Sales taxQuoteIQ → QuickBooks
Convenience fees (as separate line items)QuoteIQ → QuickBooks

Every item is listed as running from QuoteIQ to QuickBooks. Our research doesn't show a sync coming back the other way, so plan on QuoteIQ being where you create jobs and invoices, and QuickBooks being where your bookkeeper reconciles them.

Which plan includes it

PlanMonthlyUsers includedQuickBooks Online sync
Essentials$29.991No
Beginner$99.992No
Pro$199.994Yes
Elite$299.9910Yes
Max$699.9920Yes

QuoteIQ's QuickBooks page says "Available on Pro and above", and the help-center plan matrix agrees. That same page still shows older prices (Pro $149.99, Elite $249.99, Max $399.99 with unlimited users). Use the current pricing page instead; the figures above are from it. Pro also adds job costing, the client portal, ClientHub calling and texting and email and text automation, which often go hand in hand with wanting clean books.

Credit costs

QuoteIQ doesn't list QuickBooks syncing among its credit-charged actions, and its pricing pages present the integration as part of the plan. The usual credit costs only apply if you use AI tools on the invoices before they sync.

How a contractor uses it day to day

Setup is a one-time job: connect your QuickBooks Online company, then check that your services, products and tax settings line up on both sides before the first invoices go across. After that, the routine is mostly hands-off. You quote, invoice and collect in QuoteIQ, and the records land in QuickBooks for your accountant or bookkeeper. If you take card payments with a convenience fee, those now arrive in QuickBooks as separate line items rather than being folded into the invoice total, which makes reconciliation easier.

When a record fails to sync, QuoteIQ has a help article on why syncs fail and how to fix them. Check the sync status weekly at first, especially around tax settings and duplicate customer names.

Limits and gotchas

What works
  • Automatic sync of invoices, payments and customers
  • Sales tax and convenience fees carried across
  • Removes double entry for QuickBooks Online users
  • Help article for fixing failed syncs
Watch out for
  • QuickBooks Online only; Desktop not supported
  • Needs Pro at $199.99/mo
  • Sync runs one way, QuoteIQ to QuickBooks
  • No Xero integration on any QuoteIQ page we checked

QuoteIQ's own words: "QuickBooks Desktop is not supported at this time." If you're on Desktop, you'd either move to QuickBooks Online or export data from QuoteIQ manually. QuoteIQ also has no payroll or bookkeeping of its own, so QuickBooks (or another accounting tool) stays part of your stack. If you're a Xero user, people do search for a QuoteIQ Xero connection, but we found no QuoteIQ page claiming one.

How it compares with Jobber and Housecall Pro

Our research doesn't cover which Jobber or Housecall Pro plans include a QuickBooks connection or whether they support Desktop, so check Jobber's pricing page and Housecall Pro's pricing page directly. Among other tools we track, Workiz lists QuickBooks on its Standard plan, and Kickserv lists QuickBooks Online on its $60/mo Start plan for five users. The key difference with QuoteIQ is the entry point: you can't get the sync on its two cheapest plans.

QuoteIQ's own description is on its QuickBooks integration page (ignore the old prices there), and current plan prices are on its pricing page.

QuickBooks integration questions

Does QuoteIQ work with QuickBooks Desktop?

No. QuoteIQ connects to QuickBooks Online only and says QuickBooks Desktop is not supported at this time. If you use Desktop, you'd need to move to QuickBooks Online to use the integration, or export reports and data from QuoteIQ and enter them into Desktop yourself.

Which QuoteIQ plan includes QuickBooks?

The QuickBooks Online integration is on Pro at $199.99/mo for four users, and on Elite and Max. It isn't on Essentials or Beginner. QuoteIQ's QuickBooks page still lists an older Pro price of $149.99; the current pricing page shows $199.99, and new prices apply to subscriptions from October 2026.

What does QuoteIQ sync to QuickBooks Online?

Invoices, payments, customers, products and services, sales tax and convenience fees, with convenience fees now syncing as separate line items. Each item is listed as going from QuoteIQ to QuickBooks automatically. Our research doesn't show anything syncing back from QuickBooks into QuoteIQ.

Does QuoteIQ integrate with Xero?

We found no QuoteIQ page claiming a Xero integration as of October 2026, though people do search for one. QuoteIQ's documented accounting connection is QuickBooks Online. If you use Xero, ask QuoteIQ directly before subscribing, and check its Export Data feature for moving reports across manually.

What happens if a QuickBooks sync fails?

QuoteIQ publishes a help-center article explaining why syncs fail and how to fix them. Common causes in any QuickBooks integration include mismatched tax settings and duplicate customer or product names, so line those up before you connect and check the sync status regularly in the first few weeks.
